Texas International Education Consortium is seeking a dynamic, organized and meticulous full-time Accounting Associate to join its Accounting and Operations department. The Accounting Associate applies bookkeeping and accounting principles to a variety of financial transactions and processes and provides financial and administrative support to TIEC programs and operational activities as assigned. The position works collaboratively with the Accounting Supervisor and CFO and falls under the direct supervision of the Accounting Supervisor.
Monthly Accounting Cycle
Performs bank reconciliations.
Credit Card reconciliations.
Replenishment of petty cash funds.
Prepares monthly reports (FTEs, petty cash, postage and copier usage).
Codes and posts financial transactions/vouchers in Dynamics Great Plains and familiarizes with chart of accounts and department/program codes.
Print general ledger reports and performs detailed inquiries in accounting software.
Filing of accounting records.
Prepares and submits payroll reports and 403b information to DFO.
Enters and submits payroll batch data to PEO company for semimonthly payroll.
Investigates and resolves discrepancies in payroll.
Runs monthly reports in timekeeping system monthly and annually as required
Calculates salary allocations for grant hours worked and prepares allocation spreadsheet
Prepares payroll invoice and allocation amounts for G/L distribution by Accounting Supervisor.
Assists with updates to paper and electronic payroll records by entering adjustments on pay rates, employee status changes etc.
Assists with filing of personnel records.
Assists with preparation of 403b SF5500 due to IRS.
Procurement & Accounts Payable.
Audits incoming shipments to TIEC for completeness and follow up with vendors on any discrepancies.
Purchases supplies for TIEC and items for other programs as needed.
Processes financial transactions in GP Dynamics (purchase orders, vouchers, checks, employee reimbursement requests).
Verifies accuracy of vendor invoices and statements before payment.
Researches new vendors to request estimates and schedule as needed.
Processes sales tax exemption requests.
Requests W-9 form from new vendors.
Collects tuition & fees for the Texas Intensive English Program (TIEP), tutoring, & DS-2019 payments.
Processes financial transactions in Student Information System (receipts, deposit and batching reports).
Maintains financial database for TIEP students/participants and reconciles it to the General Ledger.
Files all TIEP accounting documents (receipts, semester files, agency contracts).
Maintains and requests W-8, W-9 tax forms for agencies referring students.
Prepares invoices as needed for agencies referring students and processes commission fees.
Processes reimbursements and class fund distributions.
Assists with the tracking and reporting for income and expenses for special programs as assigned.
Works closely with textbook publishers and shipping agencies to process necessary documents for book returns.
Distributes textbooks to students.
Mail metering and distribution.
Updates and reconciles assets/inventory database as needed.
Floor Marshal for emergency evacuations and manages emergency evacuation folders.
Maintains motor vehicle records for TIEC employees.
Assists CFO with preparation of various annual statutory reports such as EEO report, annual energy rating.
Performs other related duties as required by Accounting Supervisor, CFO and management.
A bachelor’s degree or associate’s degree in Accounting with 1 – 3 years experience.
Experience with Microsoft Dynamics Great Plains or other accounting software.
Prior experience in a non-profit environment.
Experience with budgeting and grant reporting and ability to work in a fast-paced environment.
Experience with Excel, Google Suite, Smartsheets and timekeeping systems.
Ability to maintain confidentiality with data and confidential information and records.
